flow docs System Design Seminars
The flow Strategy outlines five streams for the establishment of easier and better ways for people to find, use, share and keep information at Curtin. One of these streams is flow docs which includes the development and implementation of secure repositories for the storage and management of all electronic documents and a central register and appropriate decentralised storage of paper folders. Following the selection of appropriate technology for flow docs (based on the flow Functional Requirements document that was developed and approved earlier this year), the flow team are now working on the more detailed design of the system. A draft system design, that builds on the high level flow architecture, has been developed to meet Curtin's information management needs that were identified during stakeholder consultation interviews and workshops held last year. We were very pleased to be able to present this draft system design to a range of staff across the University through four face-to-face seminars held in early July.
The purpose of these seminars was to obtain staff input into the design of document management processes and the system's user interface, raise any concerns and identify potential implementation problems. Preliminary designs in the form of process flow charts were presented for the review, critique and discussion of participants. Stakeholder Consultation Report
The first stage of stakeholder consultation for the flow project is now complete. We have finished analysing all the data collected during this exercise and produced a report that documents our findings on Curtin's information management environment and the needs of staff. The stakeholder consultation process for the flow project has been extensive and very informative. We would like to sincerely thank everyone that took the online survey, or participated in one of the many interviews, workshops and contextual observations, for so willingly answering our questions and sharing their experiences, ideas and opinions with us.
The valuable information gathered during this consultation process will be used to guide the development of a functional specification and strategy for flow, as well as an overarching Information Plan for Curtin. This will ensure that changes to information management practices implemented through flow are based on the real business requirements of Curtin and support the needs of the different types of people that work at the University.
